  • Are you creating a paperless work environment?

    About a year ago, I decided to go paperless. I have roughly two, 4 tier file cabinets of transaction documents a year, just between my husband and I. I guess I just could not justify all of the space in my office being used to save documents that could easily be saved online.

    I use paperlesspipeline. Whenever you have a new transaction file, you just create a new file and upload the documents to it. It is organized and useful. Backup on a ity bity disk monthly.

    What I have learned about going paperless, that most contract documents need to be printed out during the life of the active transaction. Meaning, I have to print out the offer to have my Seller sign, for me to sign the needed parts of the contract. It isn't until after the transaction that I scan all completely executed documents, then shred the file after all is memorialized into paperless pipeline. Until electronic signatures get more widely accepted by REO or Short Selling banks, the printed documents are needed.

    So paperless is more for office space saving than for using paper. However, I think it is the best way to keep your files organized and safe. I think these online paperless systems that are real estate specific are pretty useful. It does same me from having to print out executed documents emailed to me, or to print out property assessment info, MLS reports, CMA's, and a host of other typical pdf's that can just be automatically uploaded into the paperless systems.

      Something interesting about going paperless that I forgot to mention. When I was shopping Paperless Transaction Management Companies, I was told that some E&O insurance providers would discount insurance rates if you let them know you are using a paperless system. My insurance provider did not offer that discount (dangit!) but it is a liability reducer for sure! Worth checking with your E&O insurance to see if this may impact your rate!

        I would love to follow your model. I'm sure it took some significant focus time to get everything organized. Now I just need to create the time for that :-).

          Yes my office and our company uses a system called skyslope. www.skyslope.com I just upload my documents as well as each property gets its own email address. So I just forward all my emails including attachments to skyslope and due to the email address it knows what property to store them in. So I have a complete record within each transaction. Two other features I like about it is one it has a version of docusign. I can have documents esigned and those documents when they come back are also attached to that property. Also it integrates with zip forms. So I can do all my contracts and paperwork and it sends them over to skyslope
